What sellers should prepare before approaching institutional buyers
Suppliers and aggregators get better outcomes when they present stock clearly. Here is the information to prepare before approaching large buyers.
Institutional buyers — processors, manufacturers, exporters — evaluate a lot of offers. Sellers who present their stock clearly and credibly stand out and move faster through the process. Before you approach a large buyer, or a broker who represents them, prepare the following.
1. What you have, precisely
Describe the commodity, variety or type, and your honest assessment of quality: moisture, foreign matter, damaged grain, colour and size where relevant. Accurate descriptions build trust; overstated quality wastes everyone’s time when the sample arrives.
2. Quantity and availability
State the quantity available now and what you expect to have over the coming weeks. Buyers plan around continuity, so distinguish between a one-off lot and an ongoing supply position.
3. Origin and storage
Note the region of origin and how the stock is stored. Origin can matter for quality expectations and, for exports, for documentation. Good storage condition is a selling point worth stating.
4. Packing
Describe how the goods are or can be packed — bag type, bag weight, or bulk. If you can pack to a buyer’s specification, say so. Packing affects handling cost and suitability.
5. Earliest dispatch
Indicate the earliest date you can dispatch or make the goods available. Timing frequently decides which buyer a lot is suited to.
6. Commercial terms you are seeking
Be clear about the terms you want — payment method, advance expectations, and delivery basis (ex-warehouse, delivered). Buyers appreciate sellers who state terms plainly.
7. A representative sample
For many commodities, a representative sample is the fastest way to progress. Be ready to draw and share one that genuinely reflects the lot.
Presenting through a broker
A broker who represents you to buyers depends on this information being accurate. Clear, honest representation protects your commercial interests and your reputation with serious buyers. If any detail is uncertain, say it is approximate rather than guessing.
